Data Held by Charles Peck Limited

Client details such as name and address, telephone number and e mail address. This is held to enable us to contact you in relation to our work as Estate and Lettings Agents. The data is held in protected office software systems, password protected and in paper files under lock and key.

Photographic identification and proof of residency are also obtained to comply with UK Money Laundering Regulations 2017 and in the case of letting a property to comply with the Right to Rent Act 2018. This is also held in the secure office software system password protected.

Property keys and alarm details are held to enable us to perform our duties as Sales and Lettings Agents. Keys are kept in locked cabinets and alarm details in the secure office software system password protected.

To undertake our letting duties we may also hold client bank details to pay client money in accordance with agreed contracts. Again, this is held securely, see above.

Data Sharing with Third Parties

Data may be shared with other professional companies for example Solicitors, Surveyors and in the case of letting a property, landlords tenants, preferred credit reference companies and contractors/suppliers. This Data is held for 7 years after the property has been sold/tenancy agreement comes to an end to comply with HMRC Regulations. Inactive prospective purchaser/ tenant records will be held until the property has been sold/rented.

Please note Charles Peck Limited do not use your data for marketing purposes and do not intend to do so for the foreseeable future.

Data Retention/Erasure

All data referring to the sale/rent of a property will be held for 7 years after the completion of sale/end of a tenancy agreement to comply with HMRC regulations. It will then be erased securely.

Inactive purchase/rent enquiries will be held for a period of three months then erased securely.

We will be obtaining your consent to hold your data on file but if at any time you wish us to remove your details other than for contractual purposes please contact us, see below.
